Snap a Receipt, Get an Expense: How AI Receipt Scanning Works

You’re at lunch with a client. The bill arrives. You snap a photo. By the time your card is back in your wallet, the expense is already in the system – vendor name, date, total, tax, tip, and category, all filled in.

How It Works

Open the Manual Entry modal and you’ll see a drop zone at the top: Scan Receipt to Auto-Fill. Drop an image, browse your files, or tap “Take Photo” to use your phone’s camera.

Behind the scenes, your receipt image goes to GPT-4o-mini’s vision API, which reads the receipt and extracts structured data:

  • Vendor name (the business, not the address)
  • Date (the transaction date, not today)
  • Subtotal, tax, and total (with the correct math)
  • Tip amount (if written on the receipt)
  • Currency (CAD, USD, EUR, and 7 more)
  • Line items (individual purchases, when visible)
  • Receipt number and payment method

All of this pre-fills the form. Every field is editable – if the AI misread something, just fix it. When you save, the receipt auto-attaches to the transaction.

It Gets Smarter Over Time

When the system extracts a vendor name, it checks your transaction history first. If you’ve been to this restaurant before and categorized it as “Dining Out,” it pre-selects that category automatically. No AI call needed for the category – it learns from your own patterns.

For new vendors, the AI looks at the receipt details. A bill with a tip? Probably dining. Line items with fuel types? Probably gas. The system uses the receipt context to suggest the right category from your existing list.

The Details That Matter

Restaurant bills: The system knows the difference between the pre-tip “Total” line and the actual credit card charge. If your bill shows Subtotal $50, Tax $6.50, Total $56.50, Tip $10 – the expense amount is correctly set to $66.50, not $56.50.

Image quality: Receipt photos are automatically cropped to the receipt edges (removing the table, counter, or desk in the background) and rotated correctly regardless of how you held your phone. The stored image is clean and focused.

PDFs work too: Got a vendor invoice as a PDF? Same flow. Drop it in, and the first page is processed for data extraction.

Smart mode switching: Start typing in the form first? The drop zone switches from “Scan Receipt to Auto-Fill” to “Attach a Receipt” – no AI call, just a simple file attachment. The system adapts to how you’re working.

Available on Pro+ Plans

Receipt scanning requires a Pro subscription or higher. Basic plan users still see the manual entry form – they just won’t see the scan drop zone. The feature works on both desktop and mobile, with native camera support on phones.
